How much storage different employees may need

Why the usable capacity is lower than the label

A new 512GB laptop does not provide the full headline number as empty user storage. Part of the drive is used by the operating system, manufacturer recovery tools, file-system formatting, installed applications and future updates. Company security software and device-management agents also require space.

Cloud storage does not always eliminate local usage. Synchronisation tools may keep offline copies, email clients can retain large mailboxes, collaboration applications create caches, and users often download temporary files. A cloud-first organisation therefore still needs a clear policy for which folders remain online-only and which are available offline.

Free space matters

Planning a device to operate near full capacity creates unnecessary support work. Users may be unable to install major updates, download project files or work smoothly with applications that need temporary space. A storage buffer also reduces the pressure to delete files urgently.

Local storage is not a backup
